The question a facilities manager is actually asking
Nobody commissions a carpet clean because they want clean carpet in the abstract. They commission it because the traffic lane between the lift lobby and the desk pods has gone two shades darker than the rest of the floor, because a client walkthrough is booked for Thursday morning, or because a landlord has flagged floor condition ahead of a lease event. The real question is never which method is best in theory. It is which method returns the floor to service before the building reopens, at a cost per square metre the budget can carry, without the same grey lanes surfacing again a fortnight later.
Those three constraints, downtime, cost and durability of the result, pull in different directions. Get the balance right and a floor covering that looked due for replacement reads as merely well used. Get it wrong and you have paid for a clean, lost a day of productive floor space and created a wicking problem that was not there before. This guide sets out how the main carpet cleaning methods behave in real commercial premises so you can specify the right one rather than accepting whatever a contractor happens to own.
How hot water extraction works
Hot water extraction, still widely called steam cleaning even though no steam is involved, injects heated solution into the pile under pressure and immediately recovers it along with suspended soil through a vacuum slot. The soil leaves the building in the waste tank. It is the most thorough of the common approaches because it flushes the pile rather than only treating the upper fibres, and it is the method that deals properly with a floor that has been neglected for years, has absorbed odours, or carries a heavy load of oily soil from a nearby kitchen or entrance.
The trade off is moisture. Even with a truck mounted or high vacuum portable unit and thorough dry passes, the pile is left damp and the floor is out of use until it dries. Drying is not a fixed figure. It depends on pile density and backing, ambient humidity, air movement and how much soil load the operator had to work through. Hot water extraction is also the method most likely to cause problems on the wrong substrate. Glued down carpet tiles and direct stuck broadloom can loosen if too much moisture reaches the adhesive, and heavily soiled jute backed goods can shrink. On those floors the volume of water is a genuine risk factor rather than a theoretical one.
How low moisture encapsulation works
Encapsulation takes a different route. A polymer based solution is applied and agitated into the pile with a cylindrical or rotary machine. Rather than flushing the soil out with water, the polymer surrounds each soil particle and dries into a brittle crystal that releases from the fibre. Routine vacuuming over the following days lifts the encapsulated soil away. There is no rinse stage and no waste tank, which is why the moisture load is a fraction of an extraction clean.
The practical benefits for commercial premises are the ones that matter to a building schedule. Industry coverage of the method, including this Cleanfax breakdown of encapsulation cleaning, notes that carpet typically dries in around an hour or less, that production rates are far higher than extraction because there is no hose running and no tank to dump, and that water use is dramatically lower, on the order of a few gallons per thousand square feet against roughly twenty for extraction. Encapsulation is not a substitute for everything. It works within the pile rather than through it, so on a floor carrying years of embedded grit and grease it will lift the appearance without removing the underlying load. Used as the standing method on a floor that has never been extracted, it eventually plateaus. Used as the interim method between periodic extractions, it holds appearance impressively well and stretches the interval between the heavier, more disruptive visits.
Where bonnet cleaning fits and where it does not
Bonnet cleaning uses an absorbent pad on a rotary machine, pre spray applied, pad spun across the surface, soil transferred into the pad. It is fast, it is cheap, and it dries quickly. In hospitality corridors and reception areas where the priority is appearance recovery before the next guest arrives, it has a legitimate role.
It also has a poor reputation, mostly earned by misuse. Because the pad only contacts the tips of the pile, soil below the surface is left in place and can be pushed downward by the machine. If bonneting is the only thing a floor ever receives, soil accumulates in the base of the pile and eventually surfaces as an even, dull greying that no amount of further bonneting will shift. Pads that are not changed frequently enough simply redistribute what they have already collected. Aggressive rotary work on cut pile can also distort the fibre tips and leave a permanently fuzzy appearance.
Our position is straightforward. Bonnet work is an appearance tool for short cycle, high visibility areas, not a cleaning programme. Where a client asks for it we specify the pad change frequency and pair it with periodic extraction so the soil load actually leaves the building.
Drying downtime and out of hours scheduling
Downtime is the constraint that decides most commercial specifications, and it is not only about the carpet. It is about when your people can walk on it in ordinary shoes, when desks and pedestals can go back, and when the space can be signed off as safe for general access. A floor that is technically dry to touch but still cool and slightly damp underfoot will generate complaints and will pick up soil from shoes faster than a fully dry one.
For a single floor of a city centre office, an extraction clean starting at six in the evening with air movers running through the night is usually comfortable by the morning. The difficulty comes with multi tenanted buildings where access windows are short, with twenty four hour operations, and with sites where the alarm system and out of hours access have to be arranged around a third party. Encapsulation solves most of these because the reoccupation window is measured in a small number of hours rather than overnight, which is why so much scheduled commercial carpet cleaning in Manchester now runs on a low moisture programme with extraction reserved for periodic deep cleans and for problem areas.
Whichever method is specified, the operational detail matters. Traffic lane wicking and why a clean can look worse two days later
Wicking is the single most common complaint after a commercial extraction clean and the one most often blamed on the cleaner unfairly. It happens when soil and spillage residue sitting deep in the pile or in the backing dissolve in the cleaning moisture, then travel back up the fibre as that moisture evaporates. The floor looks excellent when the operator leaves and shows shadowy lanes or old spill outlines the following day.
The causes are predictable. Too much solution and insufficient dry passes, a floor with a long history of detergent residue that was never rinsed properly, and slow drying in a poorly ventilated space are the usual three. Prevention is a matter of technique rather than product. Controlled solution volume, several dry strokes for every wet one, aggressive air movement immediately afterwards, and a rinse agent appropriate to the residue history of the floor.
Encapsulation is markedly less prone to wicking simply because there is far less moisture available to carry residue upward, which is one of the reasons it suits traffic lanes so well. Where a floor has a known wicking history, the practical answer is often a hybrid. Extract the open areas where soil load is genuinely deep, encapsulate the lanes, and follow up with a groom and a second vacuum pass once everything is dry.
Cost per square metre and what actually drives it
Rate per square metre is the wrong number to compare in isolation, because the same floor can be priced very differently depending on what the job includes. Encapsulation carries a lower rate than extraction on almost any site because production rates are higher, the equipment is lighter and there is no water supply or waste disposal to manage. That does not automatically make it cheaper over a lease term.
The variables that move a commercial quotation are consistent across Manchester sites.

- Whether desks, pedestals and seating need to be moved and reinstated
- Access, including lift availability, parking for a truck mount, and whether hoses can reach the floor at all

- Spot and stain treatment beyond general cleaning, and any odour work
A programme that combines frequent low moisture visits with an annual or biannual extraction almost always costs less across a five year lease than an ad hoc approach where nothing happens until the floor looks bad enough to trigger a complaint. Open plan offices and professional workspace
Encapsulation on a regular cycle for lanes and open areas, extraction periodically or when a floor has been let go. Education, healthcare and care settings
Soil removal from the building matters more here, so extraction has a stronger case, generally scheduled into holiday periods or planned closures where the drying window can be controlled properly.
Warehouse offices, gyms and heavy soil premises
Extraction periodically without question, because oily and particulate soil loads build faster than any surface method can manage, with encapsulation between visits to hold appearance.
Specifying the work with confidence
The right specification comes from the floor, not from a price list.
